These factors are more difficult to quantify, but they deliver at least as much business value as the ROI factors listed above.
- How many sales calls per day do remote salespeople make, and how much is the average sale worth?
Research shows that unified messaging saves remote workers 30 minutes per day (e-mails can be read to them using a text-to-speech engine, allowing them to get e-mails on the road via cell phone or any phone). This is a measurable productivity gain. - Lower administrative costs
Single platforms mean a single skill set. - Unified architecture
One infrastructure to maintain.Cost factors are also a consideration. Things that may cost are as follows:
- Upgrade of your cabling plant
There are phones that provide a switch in the phone, however this introduces a single point of failure. Older category 3 plants should be upgraded to 5e minimum (one cable drop per desk). Remember the standards still call for two fully terminated outlets per work area. This is likely not a requirement in newer systems. - Training
There will be some amount of training that will need to be done to teach people to use URL dialing and other features in the phone system. However, this would be true for any new phone system. - Installation of softphone software and the equipment for the VoIP system
- Integration with Palm or Blackberry devices if that is included
- Uninterruptible power supplies (UPS) will be needed to provide power during an outage
If more than one building has redundant power, this may not be needed. Also locating the gear in the data center with backup may mean this is either not necessary or an addition depending on your available load.
Figure out your real costs and real savings. Check out the vendor completely. I recommend looking at their press releases and find a company that implemented the solution twelve months ago. Call the person in the press release and ask them how the last year has been. See how their predictions compare to actual cost savings. And don't be afraid to look at complementary products. If the hardware upgrade is scaring you, look at adding a bandwidth manager and supplement with virtual LANs where benefits can be seen. If you plan to power the phones via the data cabling, Power over Ethernet, I recommend end-span solutions (where the power is in the switch). Remember to add additional points of administration in your cost calculations for troubleshooting. Finally, and most important, don't add or subtract savings that you will not realize or that don't apply to your solution.
Don't be afraid to solicit your prospective vendors to assist in these calculations. They should have lots of models to use as starting points and most will be happy to assist in your calculations.
